01 — The Big Picture

Why most agencies leave money on the table

You've done the hard work — 100 calls a day, booking meetings. But without a tight sales system, you're leaking revenue at every stage. Most agencies have under 50% show-up rate and let no-shows disappear completely.

"Why go through all the effort to cold call if you're just going to accept when someone doesn't turn up? Across thousands of prospects, you are literally saying no to potentially millions in revenue if you don't have a tight system." — Jordan Platten
02 — Show-Up Rate System

From 50% to 70%+ attendance

Most people only have Tier 1 figured out. That's why most agencies have under 50% show-up rate. Each tier you add increases attendance dramatically.

1

Robotic Notifications Automated

Standard calendar reminders. Confirmation on booking, 24 hours before, 1 hour before. This is what everyone does — it's the baseline, not the solution.

2

Pre-Call Homework +10% show-up

Thank-you page with 2–3 minute video after booking. Three instructions: watch the video, mark the calendar, reply when we confirm 24 hours before. Adds case studies. Makes them invested before the call.

3

AI Interaction — 24hr Before +15% show-up

AppointWise reaches out via WhatsApp/SMS: "Hey [Name], it's Finn here. Looking forward to speaking tomorrow. Please respond YES to confirm." AI handles questions, reschedules, cancellations — 24/7.

4

Human Follow-Up (Failsafe) Mops up rest

ONLY if they haven't responded to the AI. Call them 24 hours before: "Just confirming you're attending tomorrow." Some people deliberately ignore AI — this catches them.

⚡ AppointWise AI Confirmation (24hr Before)

"Hey [Name], it's Finn from SummitFlow 👋 Really looking forward to chatting tomorrow at [time] about filling your survey calendar. Just reply YES to confirm you'll be there!"

03 — Lead Qualification

Only take qualified prospects into the sales call

Don't waste call slots on installers who can't convert surveys into jobs. Qualify on the booking form before the meeting happens.

📋

Qualification Question on Booking Form

"How many heat pump installations does your business complete per month on average?"

  • Under 2/month — Not qualified (too small)
  • 2–5/month — Borderline, review case by case
  • 5–15/month — Qualified ✓
  • 15+/month — High priority ✓
⚙️

GHL Automation

Go High Level automation checks the answer automatically:

  • Qualified → Show-up sequence activates immediately
  • Borderline → Manual review notification sent to you
  • Not qualified → Polite automated decline email
💡

Additional qualification signals: MCS certification status (mandatory), whether they currently run any paid advertising (shows marketing sophistication), and company size (how many engineers). Use Companies House to verify before the call.

04 — The Discovery Call

Consultative Problem Solving — not a pitch

Your job on the discovery call is not to sell. It's to understand their situation, surface the pain, and present SummitFlow as the obvious solution. Lead with questions, not features.

1
Set the Agenda
"Thanks for joining. I'll keep this to 15–20 minutes. I want to ask you a few questions about your current survey pipeline, then if it looks like we can genuinely help I'll show you exactly what we do. Sound good?"
2
Understand Current State
"How are you currently getting new surveys? What's your biggest source — manufacturer leads, referrals, ads? How consistent is that?"
3
Surface the Pain
"Are there months where you've got more capacity than surveys? What happens to your engineers in those quieter periods? What does an empty week cost you in lost installations?"
4
Quantify the Cost
"What's a completed installation worth to you on average? And roughly how many surveys convert to installs? So a qualified survey is worth roughly £X to you, right?"
5
Present the Solution
"Based on what you've told me, here's exactly what we'd do for you..." — Show the delivery process. Make it specific to their situation. Tie it back to the numbers they gave you.
6
The Assumptive Close
"So given that a single install covers months of retainer — and we're guaranteeing the surveys — does this look like a good fit to get started this week?"
🔑

The CPS Principle: Consultative Problem Solving. Never pitch features. Ask questions until they've articulated their own problem clearly. Then present your solution as the answer to what THEY said. They sell themselves.

05 — Closing

Handling the final objections

Most deals are lost not because the product is wrong but because the sales process loses momentum after the call. Close on the call. Always.

The ROI Close

"You told me an installation is worth £X to you. At 30% survey-to-install conversion, 8 surveys a month = 2–3 installs = £[X × 2.5] revenue. The retainer is £1,500. That's covered by half an install. Does the maths make sense?"

The Risk Reversal Close

"We guarantee a minimum number of surveys. If we fall short, we work free until we deliver. You pay for results, not promises. What's the worst that happens?"

The Urgency Close

"There are homeowners in your area searching for MCS installers to do BUS grant surveys right now. Every day you wait is another day those surveys go to a competitor. When do you want to start capturing them?"

The Confusion Frame

When they're on the fence: "What have you got to lose?" makes them think about the actual answer instead of auto-rejecting. Forces them to confront that the risk is actually on us, not them.

Sales Call Pricing Script

Present Pricing "So our starter package is £1,500/month. That gets you 8 guaranteed qualified survey appointments per month, AI qualification, full CRM pipeline, and our shortfall guarantee." Anchor the Value "You told me an install is worth £[X] to you. Two installs from those 8 surveys — which is conservative — covers the retainer many times over." Close "I'd like to get you started this week so we can have surveys in your calendar within a fortnight. Does that work for you?"
⚠️

Never discount on the first meeting. If they ask for a lower price, offer a trial month at the starter package instead. Discounting destroys your positioning and signals desperation. The ROI argument is so strong it shouldn't be necessary.

06 — Recovery Systems

No-shows and maybes aren't lost

Most agencies give up when someone doesn't show. That's the difference between average and exceptional revenue. Have a system for every outcome.
